Zammad: every customer question in one overview, with an owner.
Questions from email, web forms and chat arrive in one place. Someone picks each one up and everyone else can see that. We keep the system running.
Short answer
Zammad is a ticket system for customer service. Questions that arrive by email, a web form or chat end up in one overview, with assignment, internal notes, text modules, a knowledge base and reports. It is an alternative to Zendesk and Freshdesk. Jevana hosts Zammad as an instance of its own and sees to updates, backups and oversight.
From question to closed ticket
- 01
Arrival
An email, a form on your website or a chat becomes a ticket. Questions from the same customer sit together.
- 02
Picking up
A colleague takes the ticket or has it assigned. Everyone sees who is on it, so nobody answers twice.
- 03
Working it out
Internal notes stay inside the team. Text modules hold the explanation you keep typing again.
- 04
Closing
The answer goes to the customer, the ticket closes and ends up in the reports.
What is in it
Arrival
- Messages from email
- A web form on your own site
- Chat
Working together
- Assigning tickets to a person or a group
- Internal notes next to the reply to the customer
- Text modules for frequent questions
Knowledge and figures
- A knowledge base that customers can search themselves
- Reports on what comes in and what is still open
When a shared mailbox falls short
A shared mailbox works as long as two people look in it. After that the questions start: who answered this already, where is the earlier email, who was going to pick this up. In a ticket system every question has an owner and a history.
If you mostly receive email and little goes wrong, you do not have to switch. We put the choice to you honestly.

Questions
Can Zammad replace Zendesk or Freshdesk?
For answering customer questions it can: tickets from email, forms and chat, with assignment, internal notes, text modules, a knowledge base and reports. Your team works in it without each user being billed separately by an American provider. If your work depends on links with particular packages, we first discuss which ones you need.
What is the difference between Zammad and a shared mailbox?
In a shared mailbox everyone can see everything, but nobody knows who is doing what. In Zammad every question has an owner, a status and a history. Colleagues see who already replied to a customer and can talk things over internally without the customer reading along. For a team of two a mailbox is often enough; with more people a ticket system is calmer.
Can Zammad receive questions from my website and chat?
Yes. Besides email, Zammad can receive messages through a web form on your own site and through chat. Everything lands in the same overview, so your team does not have to watch three places. How the form looks and on which pages the chat appears is up to you. We set up the link with your website.
Who looks after Zammad and what stays with us?
We look after the technology: installation on your domain name, updates, a daily backup with a second copy, and monitoring. You answer the customers. Which groups exist and who sees which tickets, we set up in consultation. The cost is in a proposal you get before anything is built.
Where does Zammad keep the tickets and customer data?
On an instance that runs for your organisation only, on Jevana servers in Hengelo. Customer questions and attachments are therefore not held by an American provider. If you ever want to leave, you can take the data with you, because Zammad is open source. How long old tickets are kept is something you set yourself.
