Privacy statement

Who we are
Jevana Systems is a trade name of Tieman IT. Tieman IT is the controller for the data described on this page; the company details are at the top. This statement covers our website and the contact you have with us. If we manage data for your organisation as a client, we set that out separately in a data processing agreement. This page does not cover that.
What data we process, and why
Visiting the website. Our web server in Hengelo keeps technical access logs: IP address, time, the page requested and browser details. We do that for security and troubleshooting, not to follow you. We set no cookies ourselves, use no analytics and no trackers, and we do not let content from third parties onto our pages.
Contact form. If you fill in the form, we ask for your name, email address, optionally your organisation and phone number, the subject and your message. With that we can answer your question or prepare a quote. If someone tries to send the form more than five times in ten minutes, or a program fills in a hidden check field, our server records that IP address in a technical log. We do that to prevent abuse.
Email. If you email us directly, we process what you send us in order to reply.
On what basis
For the access logs, the basis is our legitimate interest: a website that works and is secure. For the contact form and email, it is also legitimate interest, and where a quote is concerned, preparing an agreement.
How long we keep data
The access logs and that technical log are overwritten automatically once they reach a fixed size. In practice that happens after a few weeks. Messages sent through the contact form or by email are kept for no longer than one year after the last contact. If a client relationship follows, the statutory retention periods for our records apply, such as seven years for invoices.
Who we share data with
Traffic to our website first passes through Cloudflare. Cloudflare filters harmful traffic and protects the site against attacks before your request reaches our own server. In doing so, Cloudflare processes IP addresses and may set a strictly necessary security cookie to recognise bots. Such a cookie is needed for the site to work properly, not to follow you.
If you send the contact form, it ends up in our mailbox. That mailbox is hosted by Leaseweb, in the Netherlands.
We do not sell data and do not share it for marketing purposes.
Transfers outside the EU
Cloudflare, Inc. is an American company. The transfer of IP addresses to Cloudflare falls under the EU-US Data Privacy Framework, a framework approved by the EU for such transfers. Leaseweb processes our mailbox in the Netherlands.
Cookies
We set no cookies ourselves. The only cookie you may come across on our website is Cloudflare’s strictly necessary security cookie. Our fonts are on our own server, not with an outside party.
The status page
The status page at status.jevana.systems runs on a separate server, outside our own network, so you can still see it when we are down. That page sets no cookies and uses no trackers. Like any web server, it keeps technical access logs (IP address, time, the page requested, browser details), only for security and troubleshooting.
On our homepage and in the menu, your browser asks that server for the current status. The status server then sees your IP address, just as with an ordinary visit. The measurement itself processes no personal data.
Security
We take technical and organisational measures to protect your data: our servers belong to us, stand in a secured data centre in Hengelo, and only we manage them. A watertight system does not exist, and we do not promise one. If you notice anything odd, let us know at [email protected].
Your rights
You have the right to access, correct and erase your data, and the right to restriction, objection and data portability. Send your request to [email protected]. We respond within one month, the statutory period.
Complaints
If you are not happy with how we handle your data, please tell us first. If we cannot resolve it together, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Changes
We update this statement when our website or the way we work changes. The date at the top of this page shows when that last happened.
