Workplace management: every laptop the same, wherever it is.
Set up from one place, kept up to date without anyone having to drop by.
Short answer
Workplace management is setting up, updating and securing the laptops, phones and accounts that staff work with, from one central place. A new laptop fetches its settings and programs by itself once someone signs in, and then gets updates without anyone stepping in. Jevana sets this up with Microsoft Intune and Autopilot, or with JevanaHub if you want files and collaboration outside Microsoft.
A workplace is no longer a laptop
What suppliers call a digital workplace or cloud workplace comes down to the same thing: your files, mail and programs hang on your account, not on a device on a desk. Sign in on another laptop and everything is there again.
That makes hybrid working easy, and it makes management necessary. A laptop on a kitchen table at home never comes past an administrator again. So it has to fetch its own updates and security.
A new colleague's first day
- 01
Box open
The laptop comes straight from the supplier. Nobody has unpacked it beforehand.
- 02
Sign in
The colleague signs in with their work account. The laptop recognises which organisation it belongs to.
- 03
Set up by itself
Programs, wifi, printers and security are fetched while the coffee brews.
- 04
Work
Mail, files and calendar are ready. No administrator was needed.
What we arrange
Setting up
- One standard per role or department
- Programs that install themselves
- Dozens of laptops in a single day if needed
Keeping up
- Updates for Windows and programs, rolled out in stages
- Disk encryption on, and checked that it stays on
- An overview of which laptop belongs to whom
Closing down
- A lost laptop wiped from a distance
- Account closed when someone leaves, files handed over
- Laptop back in the cupboard clean for the next person
When this comes up
- Every laptop in the company is set up differently, by whoever happened to unpack it
- Half the team works from home and nobody knows whether those laptops are up to date
- A group of new people is joining and setting up takes half a day each
Questions
What is workplace management?
Workplace management is the whole of setting up, updating and securing the devices and accounts that staff work with. It happens from one management environment instead of by hand on each laptop. The result is that every workplace has the same settings and the same security, and that you can see at any moment which devices exist and whether they are in order.
What is a cloud workplace?
By a cloud workplace, suppliers mean a workplace where mail, files and programs live in the cloud and hang on the user's account. The laptop itself can then be replaced: if it fails, you sign in on another and carry on. It is mostly a sales term. The technology behind it is usually Microsoft 365 with Intune.
Do you supply the laptops as well?
We can, but we do not have to. If you buy laptops from your usual supplier, we make sure they are linked to your environment on delivery. If you want us to order them, we advise a model that suits the work and arrange the purchase. Either way, the laptop sets itself up as soon as the employee signs in.
Does this work for people who work from home?
Yes, that is what it is built for. A managed laptop fetches its settings, programs and updates over the internet, wherever it is. It needs no connection to the office network. A colleague who works entirely from home can have a new laptop delivered there and put it into use on their own.
Do you manage phones and tablets as well?
Yes. Company phones and tablets can go into the same management, with a mandatory passcode and the option to wipe them from a distance. On a personal phone we manage only the work apps and the business data in them. The employee's own photos and apps stay out of view, and when someone leaves only the work part disappears.
