A Microsoft 365 migration you do not notice on Monday.
A trial run with a copy first. Then the real move, at a time when nobody is working.
Short answer
A migration to Microsoft 365 is moving mailboxes, calendars, contacts and files from another environment, such as Google Workspace, your own Exchange server or another Microsoft tenant. Jevana first does a trial move with a copy, fixes what goes wrong, then switches over for good outside working hours. The old environment stays in place until everything has been checked.
How an organisation moves
- 01
Count
How many mailboxes, how big, which shared calendars, which forwarding rules. What nobody uses any more does not come along.
- 02
Prepare
The new environment is ready, with accounts, licences and security, before a single email is moved.
- 03
Trial move
A copy of everything goes across while the old environment keeps working. This is where the surprises show up.
- 04
Switch
Outside working hours the mail goes to the new address. What has arrived since the trial is brought up to date.
- 05
Check
On the first working day we are available for whatever is different from what you expected. Only then does the old one go off.
What comes along, per source
| From | Comes along | Needs handwork |
|---|---|---|
| Google Workspace | Mail, calendars, contacts, Drive files | Google Docs become Word files; shared drives to be laid out again |
| Own Exchange server | Mailboxes, calendars, public folders | Old forwarding rules and devices that send mail through the server |
| Another Microsoft tenant | Mail, OneDrive, SharePoint, Teams | A domain name can exist in only one tenant at a time |
| Mail at a hosting company | Mail and folders | Calendars and contacts are often stored locally in Outlook |
Exchange Online instead of a server in the cupboard
Exchange Online is the mail server that comes with Microsoft 365. It replaces the Exchange server at the office or at a hosting company. You do not have to update it and it needs no backup disk of its own.
What stays with you: the settings on your domain name that decide whether your mail is recognised as genuine, and the question of what happens to the mail of departed colleagues. We put those right during the migration.
Business email on your own domainQuestions
Will we lose mail in a migration?
No, if it happens in the right order. The old environment stays fully in place while a copy is moved. At the switch, the settings on your domain name send new mail to Microsoft 365, and we collect whatever still arrived at the old place in the meantime. The old mailboxes go only after everything has been checked.
Can the move happen outside working hours?
Yes, that is the standard. Copying the mailboxes runs for days in the background without anyone noticing. The moment mail actually switches, we plan for an evening or the weekend. The next working day everyone opens Outlook and signs in again. That is the only thing staff have to do themselves.
What happens to shared mailboxes and calendars?
They come along, but the permissions have to be set again. Who was allowed to open a shared mailbox or edit a calendar is recorded differently in the old system than in Microsoft 365. We map that beforehand and restore it on the new side. It is also the moment to tidy up.
How does a switch from Google Workspace to Microsoft 365 go?
Mail, calendars and contacts go across directly. Files from Google Drive move to OneDrive and SharePoint, with Google Docs and Sheets converted to Word and Excel. Formatting usually holds; complicated formulas and scripts need checking. We translate the layout of shared drives into teams and sites, in discussion with the people who use them.
Can two Microsoft 365 environments be merged?
Yes, that is called a tenant migration and comes up in a merger or takeover. Mail, files and Teams move from one environment to the other. The hardest part is the domain name, which can be tied to only one environment at a time. So we work with a temporary address and a short, pre-planned moment when the name switches.
