IT for freelancers: four things, done once, done right.
You do not need an administrator. You do need a basis you never have to look at again.
Short answer
A freelancer does not need IT management, but does need four things in order: business mail on your own domain, an automatic backup, a password vault with two-step verification and a laptop you can replace without losing data. Jevana sets up that basis for a fixed price up front. After that you manage by yourself, and you know whom to email when it goes wrong.
The four things
- Mail on your own domain
- Your name after the at sign instead of a free address. With the settings that stop your invoices landing in spam.
- Backup
- Automatic, to somewhere other than your laptop. You notice nothing until the day you need it.
- Passwords
- One vault, one master password, two-step verification on everything with money or client data behind it.
- A replaceable laptop
- Files and settings do not live on the device alone. Coffee over the keyboard costs you an afternoon, not a month.
Why this does not have to be a subscription
Full management is almost always too much for one person. You would pay every month for work that is needed a few times a year.
We put the basis in place once and write down how it works. If something breaks later, we help by the hour. If you grow into a team, the set-up is already there and we build on the same.
When you think about this
- Your laptop is stolen from the car, and your quotes from the last three years were only on it
- A client wants a data processing agreement and asks how you keep their data
- Your mail lands in clients' junk folders more and more often
Questions
What is the minimum IT a freelancer needs?
At the minimum you need business mail on your own domain, an automatic backup away from your laptop, a password vault and two-step verification on your mail and your bank. That covers the three things that go wrong most often: a broken or stolen laptop, a hacked account and a client who asks how you handle their data.
Do I need Microsoft 365 if I work alone?
Not necessarily. Microsoft 365 is handy if your clients work in Word and Excel and you want mail, calendar and files in one place. If you mostly work with your own files and want to keep them in the Netherlands, JevanaFiles with a separate mail address is enough. We look at what you do and recommend the smallest thing that fits.
Do I have to sign a contract as a freelancer?
No. For setting up the basis you get one price up front. Services that continue, such as storage or a mailbox, you pay for monthly while you use them. A management contract is not part of it. If you later want someone to keep an eye on things, for example because you hire people, we agree that at that point.
Can you move my existing mail and files?
Yes. We move your mail from a free address or your old provider, folders and calendar included, and move your files from your laptop or an external drive to a place with a backup. Your old address can keep forwarding for a while, so you miss no message while clients get used to the new one.
