Outsource your IT management without losing the keys.
We do the work. The passwords, the licences and the documentation stay yours.
Short answer
Outsourcing IT management means an outside party takes over the daily running of your workstations, network and servers, for a fixed monthly fee. It pays off once the work is too big to do on the side and too small for an administrator on the payroll. With Jevana you stay the owner of all accounts, licences and documentation, so you can always leave.
What you hand over and what you keep
| Subject | With us | With you |
|---|---|---|
| Daily management | Updates, backups, monitoring, outages | Report when something does not work |
| Admin accounts | We use them | Yours, and you can get in |
| Licences | We keep the overview | In your organisation's name or through us, you choose |
| Documentation | We write and maintain it | You always have the latest version |
| Decisions | We advise and work out the costs | You decide |
Domain names and licences can be in your organisation's name or managed by us. Either way it is on record that they are yours.
How the handover goes
- 01
Meet
You tell us what runs and what chafes. That conversation costs nothing.
- 02
Inventory
We map what is there: devices, accounts, servers, contracts. You get it on paper.
- 03
Proposal
What we manage, what it costs per month and what we need to put right first.
- 04
Handover
We ask your current administrator for access and documentation. They stay reachable until everything has moved over.
- 05
Management
From the agreed date you report faults to us.
What to check in the contract
Most problems with outsourced management start when you leave. So ask up front what happens if you cancel: do you get the passwords, the documentation and a reasonable handover period.
Also put on record what exactly the monthly fee covers, who can be reached and when, and whether work outside office hours is included. With us, cover outside office hours is a separate, paid agreement. It says so in the contract.
The checklist in the knowledge baseQuestions
When does it pay to outsource IT management?
Outsourcing pays off when the work keeps getting left or hangs on one person. An organisation of five to fifty people has too little work for its own administrator, but too much to do it responsibly on the side. A fixed monthly fee is then cheaper than the hours of a colleague who should be doing something else, and far cheaper than a week of downtime.
How does the handover from our current administrator go?
We ask your current administrator for the admin accounts, the documentation and the running contracts, and go through what runs together. Usually that party cooperates. During the transition the old administrator stays reachable for questions. Only when we can reach everything and have checked it all does management pass over on the agreed date.
What if the old supplier does not cooperate?
Then it takes longer, but it almost always works out. For most systems your organisation is the customer, and the owner can have access restored through the software or domain name supplier. Where an admin account is in the old party's name, we request a transfer. We explain up front which steps are needed and what you have to sign.
Who owns the passwords and licences?
You do. Admin accounts, licences and domain names belong to your organisation. You choose whether they are in your name or whether we manage them for you, as many clients do with their domain names. Either way it is on record that they are yours. The passwords sit in a vault your own contact person can open. If you cancel, we hand everything over and it keeps working as it stood.
Can we keep part of the management ourselves?
Yes. Some organisations keep the workstations and hand over only the network and backups, or the other way round. We record per item who does what, so nothing falls between two stools. If you have your own administrator on the payroll, we can also cover for illness, holidays or a project too big for one person.
