Kimai: know where the month's hours went.

Hours per client, project and activity, logged with a button or filled in afterwards. Reports and invoices come from the same figures. We host and manage Kimai.

Short answer

Kimai is software for tracking hours. For each client, project and activity you record where the time went, with start and stop or afterwards, and turn that into reports, exports and invoices. It is an alternative to Toggl, Harvest and Clockify. Jevana hosts Kimai as an instance of its own for your organisation and takes care of updates, backups and monitoring.

What you enter and what comes out

You recordYou get
An hour with start and stopA timeline of what you did that day
Hours entered afterwardsA complete week, even if you let it slide
Client, project and activity attachedHours per client and per kind of work
A period of your choiceA report per client, project or employee
ExportingA file for the bookkeeping or your own calculations
Making invoicesAn invoice built from the hours already there

Kimai is meant for people who sell their time: agencies, consultants and technical service firms.

When a spreadsheet stops being enough

  • At the end of the month you dig through your diary and mailbox to work out what you did
  • A client asks why the invoice is so high, and all you have is a total
  • Five colleagues keep their hours in five different ways
  • You want to know whether a project pays off, and the hours are not in one place

Questions

Can Kimai replace Toggl, Harvest or Clockify?

For keeping hours it can: recording time with a button or afterwards, per client, project and activity, with reports and exports on top. The difference is that Kimai runs on a server that does not belong to an American provider. Whether a certain integration or plugin is missing depends on what you use today. We find that out before you start.

Can you make invoices from hours in Kimai?

Yes. Kimai can build an invoice from recorded hours, so what the client pays matches what you registered. How the invoice looks can be set. It does not replace an accounting package: the invoice then moves on to the system that holds your books. For many small firms that is enough.

Can several colleagues work in Kimai at once?

Yes. Each employee gets a login of their own and writes down their own hours. Whoever is in charge sees the totals per client and project. Logging in can run through the accounts your organisation already has, so there is no extra password. Who gets which permissions, we settle with you at the start.

Are all Kimai plugins free?

No. The base is open source under the AGPL 3.0, but some plugins are paid. Most of the time you do not need them to log hours and invoice. If a paid plugin would fix something you are missing, we put it in the proposal, so you know in advance what it adds.

Can I take my hours out of Kimai if I want to go elsewhere?

Yes. Every recorded hour can be exported in files that any spreadsheet program opens. With open source that is the starting point: whoever wants to leave takes their data along. We make a full export of the instance and hand it over. It does not have to happen during a notice period or under pressure.
