Paperless-ngx hosting: your paper archive, searchable.
Scan it, mail it or drop it in a folder. Paperless-ngx reads the text and files it, so you find it later.
Short answer
Paperless-ngx is a document archive. Scans and PDFs are read with text recognition (OCR), tagged and filed automatically, and can be found again with full-text search. Attachments from email can come in automatically. We host Paperless-ngx in the Netherlands, keep it updated and monitor it. It replaces the paper folder, and sometimes a paid document management system.
What happens to a document
- 01
Arriving
You scan a piece of post, put a PDF in the shared folder or have an attachment picked up from a mailbox.
- 02
Reading
Text recognition pulls the words from the image, even from a photo of a letter. The original is kept unchanged.
- 03
Sorting
By rules you choose, the document gets tags, a type and a sender, such as invoice from supplier X.
- 04
Finding
You search for a word from the text, and the document comes up first. No folder structure to remember.
What it is not
Paperless-ngx is not a certified archive. We do not claim that it makes you comply with a legal requirement for digital retention or that you may throw away the paper version. That depends on the kind of document and on what your accountant and the Dutch tax authority accept.
What it is: a place where documents stop going missing. For invoices, contracts and post, that is usually exactly the problem to be solved. We write about retention periods separately.

Questions
What exactly does Paperless-ngx do with a scan?
It reads the text from the scan with OCR, keeps the original and adds the text it found as a searchable layer. The document then gets tags, a sender and a type according to rules you set. After that you search for a word from the content rather than a file name. It works on a poor scan too, only less precisely.
Can we use Paperless-ngx as a legal archive?
We do not promise that. Paperless-ngx is not certified, and whether a digital copy may replace the paper depends on the kind of document and on what your accountant and the Dutch tax authority accept. Ask them beforehand. As an archive for finding things it does what it should, and the originals are kept.
Can Paperless-ngx read my email?
It can pick up attachments from a mailbox and add them as documents, for instance invoices that arrive at a fixed address. Which mailbox and which attachments go in, you decide with rules. We set that up with you and test it on a few messages. Mail that does not belong in the archive stays where it is.
Who can reach our documents?
Only the accounts you allow, and you can decide per user or group what is visible. The server is with us in the Netherlands and belongs to nobody else. We manage the machine, but do not look into your documents. Only when you ask us to, for example when restoring a backup, do we work with that data.
What happens to our documents if we leave?
You take them with you, as files. The originals and the searchable versions can be exported, together with the tags and senders in a readable format. With that you can keep running Paperless-ngx yourself or put the documents in another system. There is no format that only works with us.
