How long does a business laptop last?

Kevin Tieman ·

Short answer

A business laptop usually lasts four to five years with normal office use. The end rarely comes from a breakdown. It comes because the manufacturer stops providing updates, the battery no longer lasts a working day, or the laptop cannot run Windows 11. Replace on a set schedule, not only when it breaks: a laptop that fails soon costs an employee a few days of work.

What wears a laptop out?

Rarely one thing. A five-year-old laptop usually still works. It has just got slowly worse on four points.

The battery. After a few hundred charge cycles a battery holds noticeably less. If you sit at a desk with power, you do not notice. If you work at clients’ sites, you are carrying a charger after three years.

The updates. The manufacturer provides updates for a limited number of years for the software deep inside the laptop. After that, flaws stay open. This is the limit you cannot see, and it weighs the most.

The operating system. Windows 11 sets requirements for the hardware. Laptops that do not meet them stayed on Windows 10. What that means is covered in Windows 10 end of life.

The pace. The programs get heavier, the laptop does not get faster. Teams, a browser with twenty tabs and a bookkeeping package need more memory now than five years ago.

When do you replace?

Use this as a rule of thumb, not a law.

Signal What it means
No more updates from the manufacturer or from Windows Replace, this is a security risk
Battery no longer lasts half a day Replace the battery if the laptop is otherwise good, otherwise replace the laptop
Starting up and switching between programs takes annoyingly long Have it checked first; sometimes more memory or a clean install helps
Laptop is five years or older and out of warranty Plan it in, before it decides for itself
Hinge, keyboard or screen damaged Repair under warranty, outside it usually replace

Why not wait until it breaks?

Because breaking always comes at the wrong moment. The sum is simple. An employee without a working laptop cannot work, or works half the time on a loan machine. Something has to be ordered in a hurry, often at the price of whatever is available that day. The new laptop has to be set up while someone sits waiting.

If you replace on a plan, you order once for several people, pick the model you already know and swap at a quiet moment. With automated setup through Intune and Autopilot, the employee unpacks the new laptop, signs in and carries on working.

How do you keep track?

With a list. For each laptop: who uses it, when it was bought, until when the warranty runs and until when the manufacturer provides updates. That is all.

A replacement plan follows from that list: a part of the fleet every year, instead of everything every five years. That makes the cost predictable and avoids the year when ten laptops give out at once.

With workplace management we keep that list and tell you in good time which laptops are due. You decide whether and when to replace.

What do you look for in a new one?

  • Memory: choose more than you think you need now. It is the first thing to fall short, and on many models it cannot be expanded later.
  • Warranty: three years with on-site repair saves a week without a laptop.
  • The same model for everyone: one charger, one docking station, one set of problems.
  • No consumer edition of Windows: for management and encryption you need the business edition.

Which brand you choose matters less than sticking to one line.

Questions

Is a business laptop better than a consumer laptop?

For daily work, yes. Business models are built to last for years, come with longer warranties including on-site repair, and stay on sale for longer, so you can order the same laptop a year from now. They also get updates for the underlying software for longer. A consumer laptop is cheaper to buy, but you lose that difference on the first repair that takes it away for a week.

Can an old laptop still be used safely?

As long as it still gets security updates, yes. The limit lies with the operating system and the manufacturer. A laptop that cannot run Windows 11 has not received regular Windows 10 updates since October 2025. And after a number of years a manufacturer stops updates for the built-in software. Without those updates, known flaws stay open, however well the laptop otherwise works.

Is leasing laptops smarter than buying?

That depends on your bookkeeping, not on the technology. Leasing spreads the cost and forces a replacement moment, which many companies fail to set for themselves. Buying is usually cheaper over the whole term, and you are free to do what you want with the laptop. What matters most is that a replacement moment has been agreed, however you finance it.

What do you do with a written-off laptop?

Wipe it first, give it away or hand it in afterwards. Formatting a disk is not enough; the data can often still be recovered. Use the built-in function that makes the encrypted disk unusable, or have the disk destroyed. After that the laptop can go to an employee, a school or a company that buys used hardware. Also remove it from management and the licence records.
