The Magento Exact link: orders out, stock back.
No more retyping orders. And a shop that knows what is in the warehouse.
Short answer
A link between Magento and Exact Online sends shop orders, customers and payments to Exact and brings stock and prices back to the shop. Exact Online has an API for this. Jevana builds the link as a Magento module or sets up an existing connector module, agrees up front which system is in charge of which data, and makes sure an order never arrives twice or half.
What goes which way
| Data | Direction | System in charge |
|---|---|---|
| Orders and order lines | Magento to Exact | Magento |
| New customers | Magento to Exact | Exact, once the customer exists |
| Stock | Exact to Magento | Exact |
| Prices and price lists | Exact to Magento | Exact |
| Shipping status | Exact to Magento | Exact |
| Product texts and images | None | Magento |
This is the usual pattern. We settle the table again for each business, because with custom items or consignment stock it can differ.
Existing module or build our own
Ready-made links between Magento and Exact Online exist, as a module or as an intermediary service. For a shop that follows the standard, that is usually the cheapest start.
It becomes custom work when the bookkeeping deviates: several warehouses, items that are named differently in Exact than in the shop, discounts calculated per order. We first look at whether an existing module fits. Only when it falls short do we build our own.
How we build it
- Connection
- Through the official Exact Online API, with an access key of its own for the link.
- Queue
- Orders go through a queue. If Exact is briefly unreachable, they wait and go through later.
- No duplicate orders
- Every order has a fixed reference. A second attempt does not create a second order.
- Log
- For each order you can see when it was sent and what Exact replied.
- Alert
- If something keeps failing, someone is told. Not only at the month-end close.
Questions
What is synchronised between Magento and Exact Online?
Usually orders, customers and payment information go from Magento to Exact, and stock, prices and shipping status come back. Product texts and images stay in Magento, because Exact is not meant for them. What exactly travels, we settle per business in a table, so there are never two systems allowed to change the same data.
How often is stock updated?
You set that. Orders go to Exact straight after checkout. Stock is usually fetched every few minutes, because the Exact API limits the number of requests per minute and per day. For items that often sell out it can be more frequent. That limit is also why a link has to be sparing with requests.
What happens if an order does not arrive in Exact?
The order stays in the queue and is offered again. If it still fails after a number of attempts, for example because an item does not exist in Exact, a staff member gets an alert with the reason. The log shows what happened to each order. Nothing gets lost, not even during maintenance on Exact.
Have you built this link before?
We name no clients or projects on the site, so we leave that open here. What we can show is how we build links: through the official API, with a queue, a log and a data table agreed beforehand. In the first conversation we go through your bookkeeping and say honestly what is standard and what becomes custom work.
