The Magento AFAS link: the shop as an extension of Profit.
Items and price agreements stay in AFAS. The shop shows them and sends the order back.
Short answer
A link between Magento and AFAS Profit lets the online shop work with the items, prices, stock and debtors from AFAS, and enters shop orders as sales orders in Profit. AFAS offers GetConnectors to fetch data and UpdateConnectors to write it. Jevana builds the link on those, as a module in Magento, with a queue and a log.
AFAS works with connectors, and someone has to set them up
Unlike many systems, AFAS has no fixed API that holds everything. In Profit you decide yourself which data a GetConnector exposes, and which fields an UpdateConnector may fill. That gives control, and it means part of the link is built in AFAS.
That part is done by your AFAS administrator or consultant. We supply which fields the shop needs and in what form, and build the Magento side. The first meeting therefore has three parties: you, us and whoever configures your AFAS.
What the shop takes from AFAS and sends back
From AFAS
- Items with description, unit and item group
- Stock per warehouse
- Price lists and price agreements per debtor
- The status of an order and the delivery note
To AFAS
- Sales orders with lines, discounts and shipping costs
- New debtors and delivery addresses
- The payment method and whether it has been paid
Stays in the shop
- Product photos and sales copy
- Categories and filters
- Promotions and discount codes
When this comes up
- Orders from the shop are now entered into Profit by hand
- The shop shows stock that is not there, or the other way round
- Business customers see a different price in the shop than on their invoice
Questions
What is synchronised between Magento and AFAS?
From AFAS come items, stock, price lists and the status of orders. To AFAS go sales orders, new debtors and payment information. Sales copy, photos and the layout of the shop stay in Magento. You decide the exact fields together with your AFAS administrator, because the connectors in Profit are put together per business.
What is a GetConnector and an UpdateConnector?
A GetConnector is an output from AFAS Profit that you define: a selection of fields, for example all items with price and stock, that another system may request. An UpdateConnector works the other way and lets another system put data into Profit, such as a sales order. Together they are how AFAS talks to the outside world.
What happens when AFAS gets an update?
AFAS releases a new version of Profit a few times a year. The connectors themselves generally keep working, because you defined them and AFAS does not change them unasked. If something does change, you see it in the link's log as an order or stock change that does not come through, and someone gets an alert.
Can the shop show price agreements per customer from AFAS?
Yes. After login the shop asks for the prices that apply to that debtor and shows them on the product and in the basket. For many items we fetch the price lists in advance and refresh them at a fixed rhythm, so a page does not have to wait for AFAS. The invoice and the shop then show the same amount.
